It can be a dreadful feeling…feeling frazzled.  It’s that feeling you get when you would rather be designing and engineering, when you would like to finish a project, but you have to stop what you are doing and take care of your business.

Maybe it’s as simple as booking a lunch or travel arrangements for a conference but maybe it’s dealing with emails that are piling up and you know you need to respond to client needs because if you don’t that could be detrimental in many ways.  You have to invoice or that will affect cash flow and what about research or making contacts for business development so the projects keep coming in.

If you are a sole proprietor you are most likely doing all of the work and the project management.

It’s easy to get stuck doing tasks that need to be done but I’m sure you would rather be doing work on projects.

Unfortunately, you don’t really have a choice but to take time away from billable work and take care of the overhead if you don’t have help.  Unless you are working nights and weekends and taking time away from your family too.

Do you relate to these statements?

  • I am working overtime on a regular basis!
  • I am losing clients and potentially new business because I am not responding in a timely manner.
  • I spend more than 10 hours a week on administrative and project management tasks.
  • I feel overwhelmed.
  • I need to find better work/life balance.
  • I want to spend my time working on projects, that is why I became an Architect or Engineer after all…

If you agree with any (or all!) of the above, you should know there is an alternative.   It can be costly to hire office/marketing staff or a project manager to help since you would be dealing with training and managing a person, paying taxes, benefits, etc., but hiring a Virtual Admin/Project Manager is a great alternative.

Hiring a Virtual Admin can be a very cost-effective way for you to get things done in your business.  If you are billable at $120 per hour, you are likely losing $1200-1800 per week in billable hours by doing office, marketing and client service work on your own. There are a lot of different websites that you can hire from and rates vary per hour depending on who you hire and the level of experience. I believe, since the AEC industry is project based (and everything from the way you track time, to invoicing and working with clients, to business development is so different than other industries), it is important to hire someone with experience and skill in this niche.

I started AEC Virtual Admin because I wanted to take my 30+ years of experience in this industry in business development/marketing, finance, training, admin and accounting and put it to use helping small firms to be more efficient and to help you personally to get back to doing what you love.
